Who’s in charge of what

Two administrator roles keep an exhibition running smoothly.

An Art Organisation Administrator has overall responsibility for your organisation’s own use of Exhibity—account settings, who else gets access, and the defaults every exhibition starts from. An Art Exhibition Administrator (often whoever already holds your Exhibition Secretary or Coordinator role) answers to the Art Organisation Administrator and runs the day-to-day of one particular exhibition—call to exhibit, receiving, curation, sales and payout.

Many smaller organisations have one person hold both roles. Larger ones often split them.

Pop Up exhibitions

Use the stages your exhibition needs and leave out the rest.

A Pop Up can move directly to Sales and payout without adopting the full tracked-work journey used by a Gallery-style exhibition.

Call to exhibit

Publish the rules and entry form, receive artist entries, shape the stewarding rota and prepare accurate artwork labels from information already supplied.

Receiving

Work side by side at busy Receiving sessions, checking each artist’s expected works, recording the decisions that matter and ensuring accepted work is labelled as required.

Curation

Place and hang work in the usual way, whether or not anyone holds a curator role, and have the curator produce the printed labels once artworks are in place. Record locations only when the scale or number of spaces makes that useful.

Sales

Keep everything the Sales Desk normally needs close at hand: artwork search, recent sales, notes from the previous session and works awaiting later collection.

Collection

Return unsold work to artists, while a Sales volunteer releases sold work to buyers presenting their receipt.

Payout & closure

Use the completed sales record to calculate commission, confirm artist payouts and bring the exhibition accounts to a tidy close.

An Art Exhibition Administrator can also set an optional sales target for an exhibition and see progress toward it on the Sales Desk.

Your existing payment arrangements

Your POS handles the money.

Exhibity works beside the organisation’s existing card terminal or payment arrangements. It records the artwork sale, commission and artist entitlement.

It does not need card details or access to the organisation’s bank account. Exhibity records transactions; it does not calculate tax or replace the artist’s or organisation’s own accounting arrangements.

Volunteer time

Less time repeating the same administrative work.

Artist and artwork information entered once can support Receiving, label production, Sales, Collection and payout. Volunteers spend less time retyping, comparing separate records and looking back through earlier session notes.

Your volunteers can keep the workflow names they already know—such as Hand-in, Reception or Settlement—while Exhibity maintains a consistent, connected record underneath.

Each operational volunteer role applies only to the exhibition where it is needed—it does not become a standing grant for future shows.

Simple charging model

Clear prices before you begin.

There is no subscription or setup fee. Preparing an exhibition and using Practice are free, and there is no exhibition fee unless a live exhibition records a qualifying sale.

Pop Up pricing is separate from the Gallery-style table above. Every Pop Up costs £10, whatever the number of participating artists.

The estimated fee is shown while the exhibition is being prepared and locked when it goes live. It is invoiced only after the first qualifying sale.

Fair by design, with no surprise increases. Exhibity only earns a fee when your live exhibition records a qualifying sale. We will keep our prices clear and give societies time to plan if they ever change. Once an exhibition goes live, its fee is locked and will not be changed later.
